Workmate is a product of EZBiz Services, operated by Jacob Cripps in Petal, MS 39465. Workmate provides a white-label AI receptionist platform that resellers use to offer AI-powered phone answering, appointment booking, and caller management services to their end-clients (service businesses).

This policy covers how we handle data for both resellers (our direct customers) and end-clients (the businesses that resellers serve through our platform).

2. Information We Collect

Reseller Information

  • Name, email address, and business information
  • Billing information processed through Stripe Connect
  • Brand assets (logo, colors, company name) for white-labeling
  • Login credentials and account activity

End-Client Information

  • Business name, address, phone number, and hours of operation
  • Service details and pricing provided during onboarding
  • AI receptionist configuration and preferences

Caller Information (End-Client Customers)

  • Phone number and caller ID information
  • Call recordings and transcripts
  • Appointment details and booking information
  • Name and contact information provided during calls
  • SMS messages sent and received

Automatically Collected Information

  • IP address, browser type, and device information
  • Pages visited and usage patterns on our platform
  • Cookies and similar tracking technologies

3. How We Use Your Information

  • Provide and operate the white-label AI receptionist platform
  • Process and route phone calls through our AI system
  • Book appointments and capture caller information on behalf of end-clients
  • Send automated follow-up messages (SMS, email)
  • Process billing and payments through Stripe Connect
  • Improve our AI models and service quality
  • Provide customer support to resellers and their clients
  • Send platform updates and service notifications
  • Comply with legal obligations

4. Two-Tier Data Model

Workmate operates a two-tier data model. We are a data processor for resellers, who are themselves data controllers for their end-clients. This means:

  • Resellers are responsible for informing their end-clients about how data is collected and processed through the Workmate platform.
  • End-clients should be aware that their data is processed by the Workmate platform on behalf of their service provider (the reseller).
  • Callers interact with AI receptionists configured by end-clients through their reseller. Call data is accessible to both the end-client and the reseller.

5. Call Recording Disclosure

Calls handled by Workmate AI receptionists may be recorded for quality assurance, dispute resolution, and service improvement. Callers are informed at the beginning of each call that the call may be recorded. Call recordings are stored securely and are accessible to the relevant reseller and end-client.

Resellers and end-clients are responsible for complying with applicable call recording laws in their jurisdiction, including one-party and two-party consent requirements.

6. TCPA Compliance

Workmate is committed to compliance with the Telephone Consumer Protection Act (TCPA). Our platform:

  • Only sends automated SMS messages to individuals who have provided prior express consent
  • Provides opt-out mechanisms in all automated messages
  • Honors opt-out requests immediately
  • Maintains do-not-call lists as required

Resellers are responsible for ensuring that their use of the platform's SMS and calling features complies with TCPA and all applicable telemarketing regulations.

7. Third-Party Services

We use the following third-party services to operate our platform:

  • Twilio — Voice calling, SMS messaging, and phone number provisioning
  • OpenAI — AI language models that power our receptionist conversations
  • Stripe — Payment processing and Stripe Connect for reseller billing
  • Supabase — Database hosting, authentication, and data storage

Each of these services has their own privacy policies. We recommend reviewing them if you have questions about how they handle data.

8. Data Retention and Deletion

We retain data for as long as your account is active or as needed to provide services. Specifically:

  • Account data is retained while the account is active
  • Call recordings are retained for 90 days unless a longer retention period is configured
  • Call logs and transcripts are retained for the duration of the account
  • Billing records are retained as required by law

When a reseller cancels their account, we delete their data and all associated end-client data within 30 days, except where retention is required by law.

9. Reseller Responsibilities

Resellers using the Workmate platform agree to:

  • Inform their end-clients that data is processed through the Workmate platform
  • Maintain their own privacy policy that covers their use of our services
  • Obtain necessary consent from end-clients and callers for data processing, call recording, and SMS messaging
  • Comply with all applicable data protection laws in their jurisdiction
  • Promptly forward any data access or deletion requests they receive to us

10. Your Rights

You have the right to:

  • Access — Request a copy of the data we hold about you
  • Correction — Request correction of inaccurate data
  • Deletion — Request deletion of your data (subject to legal retention requirements)
  • Opt-out — Opt out of marketing communications at any time
  • Portability — Request your data in a portable format

11. Data Security

We implement reasonable technical and organizational measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

12. Children's Privacy

Workmate is not intended for use by individuals under 18. We do not knowingly collect data from children. If we learn that we have collected data from a child, we will delete it promptly.

13. Changes to This Policy

We may update this privacy policy from time to time. We will notify resellers of material changes via email. Continued use of the platform after changes constitutes acceptance of the updated policy.
